Terms of service

These terms govern your use of Journey, a software service for UK apprenticeship training providers operated by Journey Software Ltd ("we", "us"). By creating an account or using the service you agree to these terms.
1. The service
Journey is a multi-tenant SaaS platform for managing apprentices, employers, on-the-job training, progress reviews, evidence, end-point assessment, and funding. Functionality may evolve over time; we will not materially reduce a feature you depend on without reasonable notice.
2. Your account
You are responsible for the accuracy of the information you provide, for keeping your sign-in credentials secure, and for the actions taken under your account. Sign-in is provided through Clerk; you must comply with their terms in addition to ours.
3. Acceptable use
- Do not upload material you do not have the right to share.
- Do not attempt to access another tenant's data, probe the service for vulnerabilities, or run automated load against it beyond reasonable use.
- Do not use the AI features to produce misleading evidence about an apprentice's progress. The AI is an assistant; the human record is what counts for ESFA audit.
4. Your data
You retain ownership of the data you put into Journey. Our handling of personal data is described in our privacy policy. Sub-processors we rely on are listed on the sub-processors page.
5. Availability
We aim for high availability but do not guarantee uninterrupted service. Planned maintenance will be notified in-app where practical. Live status is visible at /api/healthz/deep and on the in-app status indicator.
6. Fees
Some plans are paid. Fees, billing cycles and trial terms are shown in your tenant's billing page. Unpaid balances may result in suspension after notice.
7. Termination
You may close your account at any time from your profile. We may suspend or terminate accounts that breach these terms, that pose a security risk, or where required by law. On termination we will help you export your data; retention periods set by ESFA / DfE funding rules continue to apply.
8. Liability
Journey is provided "as is". To the fullest extent permitted by law, we exclude implied warranties and limit our aggregate liability for any claim to the fees you have paid for the service in the 12 months preceding the claim. Nothing in these terms limits liability that cannot be limited under English law (including liability for fraud or for death or personal injury caused by negligence).
9. Changes
We may update these terms; material changes will be notified in-app at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
10. Governing law
These terms are governed by the laws of England and Wales and disputes are subject to the exclusive jurisdiction of the English courts.
